Perform duties associated with WorkForce Diversity office. Support WorkForce Diversity staff in performance of reception responsibilities. Receive, screen, and transfer incoming calls in a friendly, efficient manner by forwarding calls to appropriate voice mail or taking complete and accurate messages for staff. Greet visitors and direct appropriately. Make copies and forward information as directed by staff. Monitor and distribute incoming FAX messages and mail. Maintain office and equipment supplies. Perform basic filing duties as directed by staff. Write correspondence, billing and PO's, to vendors, clients, and business as directed by staff. Generate minutes for staff meetings and Community meetings. Compile month end billing and quarterly outcome paperwork. Assist Director with stateline case management paperwork. Update client files and goals for all WFD clients. Assist in checking and approving staff time and mileage. Oversee submission of required billing documentation on a monthly basis to the business office. Complete monthly productivity sheet for department. Maintain statistical information and submit monthly and quarterly reports to supervisor related to outcomes and caseloads. Collaborate with supervisor in marketing program, maintaining and updating brochures, manuals, forms, and handbooks for staff and clients. Maintain records and progress reporting systems in compliance with agency and position standards/regulations. Work cooperatively with co-workers, individuals seeking services, families, businesses and vendors. Develop person centered, meaningful strategies and employment goals for stateline funded clients. Conduct case conferences as needed for each client. Review client files monthly. Assist new staff with training modules as needed. Attend/request related training as authorized. Comply with ethical standards of Bona Vista Programs and other governing/affiliated bodies. Promote and display positive attitude and display an overall commitment to the agency's mission, values, and vision. Coordinate routine repetitive tasks and responsibilities with spontaneous, occasional assignments. Assist with Opportunity Knocks Level 2 program as needed. Perform repetitive tasks. Duties must be performed precisely. Move frequently from sitting to standing positions.
High School Diploma or equivalent required. Two years successful office experience preferred. Maintain a valid Indiana driver's license, and maintain insurability as defined by the agency liability insurance carrier. Maintain insurance on personal vehicle (minimum of PLPD w/Medical liability coverage). Current proof of insurance must be maintained in personnel file per BQIS regulation. Must possess and maintain reliable transportation that meets state requirements for transporting persons served. Maintain a clear criminal record regarding neglect or abuse. Demonstrates skills and abilities in Microsoft word, excel spreadsheets, and office equipment use. Experience teaching computer skills preferred. Must possess or be able to obtain CPR, CPI, BDDS and first aid certification annually and perform as necessary.
